Seven steps to a record.
The order of events, start to finish. For the full list of what NotedSnap does, see features.
First, add your staff.
Import a CSV with name, email and, if you like, a group such as a site or department. People already on the list are updated, not doubled up. When someone leaves, offboard them.
42 people read. 3 already on the list were updated, not doubled.
Then, add a policy.
Upload a PDF or type a short notice. Every change becomes a new version. A published version does not change, so the record shows exactly what people were given.
A published version never changes.
Pick who must tick.
Send it to everyone or to chosen groups, with a due date if you want one. The emails go out under your business name.
Staff tick on their phones.
Each person opens their own link, reads the document, types their full name and ticks the box. No account, no password, no app. Opening the link never counts. They have to tick on purpose. Try it.

Reminders do the nagging.
Anyone who has not ticked gets a reminder after 3, 7 and 14 days (you can change that). Each reminder has a fresh link and cancels the old one. After 21 days the account owner is told who is still outstanding.

- 7Reminder
- 14Reminder
- 21You are told
Every reminder carries a fresh link and cancels the old one.
Then the register and the pack.
The register shows every person against every policy. Export a records pack that lists who ticked what, when, from which address, and whether the log is still intact.
Next year, round again.
A month before a tick turns a year old, a new link goes out. If you change a policy in a big way, people who have not ticked the old one are moved to the new one with a fresh link.
What goes in the record.
- Who the person is, which policy and which version
- A fingerprint (SHA-256) of the exact document they ticked
- The date and time our server recorded the tick, and the time the link was first opened
- The name they typed, plus the address and browser it came from
- Whether their browser said they reached the end of the text (we do not vouch for that)
- Who sent it, who changed the staff list, every admin action
- A log chained together, so a later edit shows up
What a link shows.
Be clear about what a link shows. It shows that the person's mailbox received and opened the link, and that the name they typed matches your list. A forwarded link or a shared mailbox could weaken that. So NotedSnap cancels a link when a staff email address changes, limits wrong-name attempts and flags a changed email address in the records pack. Whether the evidence satisfies your auditor, insurer or client is something to confirm with them.
