Can I start using it now?
Not yet. NotedSnap is being finished and tested. Join the waitlist and we invite people as places open. Early access is free.
Do my staff need an account or an app?
No. Each person gets a personal link by email and ticks in their browser.
What if some staff have no email address?
NotedSnap works by email only today. If most of your people have no email, join the waitlist and tell us about your site, so we know whether it is worth building something for them.
Is this a legally binding electronic signature?
No. It is an acknowledgement record. Whether it meets your auditor's, insurer's or client's needs is something to confirm with them. We do not claim otherwise.
Does NotedSnap write my policies?
No. You upload your own documents or type a short notice. We do not give legal advice.
What happens when I change a policy?
A new version is made. If you mark the change as big, people who had not yet ticked the old version move to the new one, with a fresh link by email, and their earlier links stop working.
What if someone changes jobs or leaves?
Offboard them. Their pending work is withdrawn and their links are cancelled. What they ticked in the past stays in the record.
Can a person be erased?
Yes, on request. Their name, email and typed name are deleted. The record keeps only an anonymous reference, so the log stays valid.
Can I use NotedSnap outside South Africa?
Yes. Nothing in the product is tied to one country, and dates follow your own time zone and format. Staff pages and emails are English only for now. Prices are in US dollars, but paying is not switched on yet.
How is personal data handled?
NotedSnap is built around POPIA. You are the responsible party (controller) for your staff's details and NotedSnap acts as your operator (processor). A person can be erased on request, and staff messages are cleared after 12 months. If you need your data kept in a particular region, tell us.
Can staff ask a question?
Yes. Each person can send you a message from their own link. You reply from your dashboard and they see the answer on their page.
Can I export the records?
Yes. The records pack exports as a CSV and includes the state of the audit log.
What does it cost?
One flat monthly fee for the business, set by how many staff you have, never per person. It is free during early access. See the pricing page.
Who is NotedSnap for?
Businesses of roughly 20 to 250 staff: the owner who also does the HR, the HR manager, the safety officer. Larger organisations are welcome to talk to us.
