Know who has read it.
Send a policy or safety notice to every member of staff. NotedSnap chases the ones who have not ticked it and keeps the record for your auditor.
The problem, and the fix.
Without it
- You email the policy or pin it up, and hope people read it.
- Nobody can show who read which version, or when.
- You chase the stragglers by hand, and the question comes when an auditor, insurer or client asks.
With NotedSnap
- Every person gets their own link and ticks on their phone.
- The register shows who ticked which version, and when.
- Reminders go out without you, and the record is ready when someone asks.
- A registerWho ticked which version, and when.
- RemindersSent for you, each with a fresh link.
- A records packA CSV with the log, to export when someone asks.
- A yearly renewalA new link a month before a tick turns a year old.

Last, the record is kept.
Records pack, CSV. Each entry is tied to the one before it, so a gap shows.
Jobs off your desk.
Six things you would otherwise do by hand. See everything it does.
- Staff need no account or app.A personal link opens on any phone. They read, type their name and tick. Nothing to install and no password to forget.
- Reminders go out without you.By default on days 3, 7 and 14, each with a fresh link. On day 21 you are told who is still outstanding.
- Every tick is tied to one version.A SHA-256 fingerprint of the exact file is stored with the tick, and a published version never changes.
- Staff can ask you a question.A message from their link waits on your dashboard. Your reply shows on their page, and you get one summary email an hour at most.
- Next year it comes round again.A month before a tick is a year old, a new link goes out.
- Change a policy, keep the history.Mark a change as big and people who had not ticked the old version move to the new one. Earlier links stop working.
What it is, and what it is not.
What it is
An acknowledgement record for the safety officer, the HR manager or the owner who also does the HR. A personal link shows that someone opened it from their own mailbox and typed a name that matches your list.
What it is not
Not legal advice and not an advanced electronic signature. It cannot show who held the phone. Check with your auditor that the record is enough for them.
Who runs it
NotedSnap is built and run by one person in South Africa, for firms with 20 to 250 people. Ask a question and a person answers.

Can I start using it now?
Not yet. NotedSnap is being finished and tested. Join the waitlist and we invite people as places open. Early access is free.
Do my staff need an account or an app?
No. Each person gets a personal link by email and ticks in their browser.
What if some staff have no email address?
NotedSnap works by email only today. If most of your people have no email, join the waitlist and tell us about your site.
Is this a legally binding electronic signature?
No. It is an acknowledgement record. Whether it meets your auditor's, insurer's or client's needs is something to confirm with them.
Does NotedSnap write my policies?
No. You upload your own documents or type a short notice. There are starter templates, and none of it is legal advice.
What happens when I change a policy?
A new version is made. If you mark the change as big, people who had not ticked the old version move to the new one, with a fresh link by email, and their earlier links stop working.
Can a person be erased?
Yes, on request. Their name, email and typed name are deleted, and an anonymous reference keeps the log valid.
What does it cost?
One flat monthly fee for the business, set by how many staff you have, never per person. It is free during early access.
